Bulk Inventory Adjustments via CSV in Nexchar POS
The Bulk Inventory Adjustment feature in Nexchar POS enables you to update large quantities of inventory data quickly and efficiently using a CSV file upload. This guide will walk you through the process, including the steps to export, modify, and re-upload your inventory data for bulk adjustments.
Why Use Bulk Inventory Adjustment?
Bulk Inventory Adjustment is designed for businesses that need to:
- Update stock levels across multiple products in one go.
- Adjust quantities quickly when there are inventory discrepancies.
- Perform inventory audits and adjustments with minimal manual entry.
Using a CSV file for bulk adjustments saves time and minimizes human error, making it easier to maintain accurate stock records.
Exporting the Inventory Adjustment Template
To start a bulk inventory adjustment, download a template CSV file with your current inventory data. This template includes fields such as SKU, Barcode, Item Name, Stock, and Adjustment Quantity.
- Navigate to: Inventory > Bulk Inventory Adjustment in the Nexchar POS dashboard.
- Select Outlet: Choose the specific outlet you want to adjust inventory for, if applicable.
- Click: Export Template. This will download a CSV file containing the current stock levels and necessary fields for each item.
The CSV file includes the following columns:
- SKU: The unique Stock Keeping Unit for each product.
- Barcode: The barcode associated with the item.
- Item Name: Name of the product.
- Stock: Current stock quantity in the outlet.
- Adjustment Quantity: Enter the quantity by which you want to increase or decrease stock.

Modifying the CSV File
Now, open the downloaded CSV file to make necessary adjustments:
- Open the CSV in a spreadsheet editor such as Microsoft Excel, Google Sheets, or any compatible software.
- Adjust Quantities: In the Adjustment Quantity column, enter positive values to increase stock or negative values to decrease stock.
- Example: If you want to reduce stock by 5 units, enter
-5
. To add 10 units, enter 10

- Save the File: Once you’ve finished editing, save the file in
.csv
format.
Note: Do not alter the structure of the CSV file (such as adding or removing columns) as it may lead to errors during upload.
Uploading the CSV for Bulk Adjustments
After updating the CSV file with the desired quantities, upload it to apply the adjustments:
- Navigate to: Inventory > Bulk Inventory Adjustment in Nexchar POS.
- Select Outlet: Choose the outlet for which you’re adjusting inventory.
- Upload CSV: Click Choose File to select the modified CSV, then click Upload.
- Review Adjustments: Once uploaded, the system will process the file and adjust stock quantities as specified.
After processing, a confirmation message will appear summarizing the successful adjustments. If any errors occur, you’ll receive a list of items that failed to process with an explanation (e.g., invalid SKU or missing barcode).
Common Errors and Troubleshooting
Error: No Item Found for SKU/Barcode
- Solution: Ensure that the SKU or Barcode in the CSV matches what’s in the POS system. If an item is missing, add it manually to the inventory and try re-uploading.
Error: Duplicate Items Found
- Solution: If multiple items in the system share the same SKU or Barcode, resolve the duplicates by editing them in the inventory section. Duplicate entries will prevent adjustments for the affected items.
Error: CSV File Structure Not Recognized
- Solution: Ensure the CSV file hasn’t been modified in terms of columns or headers. Only change the values in the Adjustment Quantity column.
Error: File Format Error
- Solution: Ensure the file is saved in
.csv
format. If using Google Sheets, go to File > Download > Comma Separated Values (.csv).
